How to combine risk assessments with employee appraisals

Show your employees that they and their concerns are taken seriously. This not only helps to improve workplace safety, but also boosts motivation and, as a result, performance.

In many companies, regular employee appraisals have long been standard practice for discussing future prospects and often bonuses. Combine them with a regular review of potential workplace hazards and benefit twice over.

Work transparently

Always be transparent. For example, use team meetings alongside individual appraisals to report on changes and current progress. This way, your employees feel taken seriously at all times.

Assess risks in advance

Assess potential hazards in advance together with the works council and other employees responsible for safety. This helps you respond better to your employees’ concerns.

Promote change

When it comes to hazards, simply accepting change has long ceased to be enough. Promote it actively, using every means available. This takes time, planning and a certain budget.

Consider individual needs

Everyone is different, so each employee may face difficulties in a different area. What matters is protecting each individual appropriately and fostering their talents. The appraisal may also show that an employee is not well placed in their current role. In that case, work together to find alternatives.

Involve the works council

The works council is obliged to support occupational safety and health in the company (Section 89 of the German Works Constitution Act, BetrVG). Offer your employees the option of bringing a works council member to the appraisal. They are entitled to do so under Section 82(2) BetrVG, and it builds trust during the conversation.

Prepare employees

Before the appraisal, let your employees know that you would also like to hear about their workflows and any difficulties with them. This gives them the chance to think these issues through in advance. When people are asked on the spot, individual problems are easily overlooked.

Sample questions for the appraisal

Use these questions to raise potential hazards during the appraisal. They cover both physical and psychological strain, which are part of the risk assessment under Section 5 of the German Occupational Safety and Health Act (ArbSchG).

  • Are there any tasks or work steps where you feel unsafe or have already experienced a near miss?
  • How well do your workstation, work equipment and protective equipment suit your tasks?
  • Are there any physical strains, for example from heavy lifting, awkward postures, noise or heat?
  • How manageable are your workload and time pressure? Can you get your work done within your working hours?
  • How well does information flow within your team, and how well do you work together?
  • What would make your work safer or easier?

Record the answers and use them to derive specific measures.

Alternatively, you can run an employee survey independently of the appraisal, focusing specifically on the risk assessment.
